We only collect what we actually need, and this page says plainly what happens to it.

This policy explains what personal information Office Furniture Store UK collects about you, why we collect it, what we do with it, and the rights you have over it. It applies to officefurniturestoreuk.co.uk and to any order you place with us.
We are committed to handling your information properly, and to only collecting what we actually need.
The data controller is:
Workplace Solutions Group Ltd, trading as Office Furniture Store UK
124 City Road, London, EC1V 2NX
Company number: 17354431
Email: info@officefurniturestoreuk.co.uk
Phone: 0208 103 4875
For any question about this policy or your information, email us and mark your message "Data protection".
When you place an order: your name, billing address, delivery address, email address, phone number, and the details of what you ordered. If you are ordering for a business, we also collect your company name and, where relevant, your VAT number and purchase order reference.
When you pay: your payment is processed by our payment provider. We receive confirmation that payment succeeded, and a masked reference such as the last four digits of the card. We never see or store your full card number, expiry date or security code.
When you create an account: your name, email address, password (stored in a hashed form that we cannot read), and your order history.
When you contact us: the content of your message and any details you give us, so we can answer you and keep a record of what was agreed.
When you subscribe to our newsletter: your email address.
When you use the website: your IP address, browser type and version, device type, the pages you viewed and the time of your visit. This comes from cookies and server logs. See section 7.
You can browse our website without telling us who you are.
We do not knowingly collect information from children. Our website is aimed at adults and businesses. We do not collect special category data such as health or ethnicity, and please do not send it to us.
UK data protection law requires us to have a lawful basis for each use of your information.
| What we use it for | Lawful basis |
|---|---|
| Taking and fulfilling your order, arranging delivery and installation, taking payment | Performance of a contract with you |
| Answering your enquiries and providing customer support | Performance of a contract, or our legitimate interests in responding to enquiries |
| Handling returns, refunds, warranty and complaints | Performance of a contract and legal obligation |
| Keeping accounting and VAT records | Legal obligation |
| Sending order updates and dispatch notifications | Performance of a contract |
| Sending marketing emails about our products | Your consent, or the soft opt-in where you have bought from us and we are marketing similar products |
| Keeping the website secure and preventing fraud | Our legitimate interests in protecting our business and customers |
| Understanding how the website is used so we can improve it | Your consent, via cookie preferences |
Where we rely on legitimate interests, we have considered whether our interest is fair to you and we will not use your information in a way you would not reasonably expect.
If you have asked for our newsletter, or you have bought from us and we are telling you about similar products, we may email you.
You can stop this at any time. Use the unsubscribe link in any email, or email us at info@officefurniturestoreuk.co.uk. We will act on the request promptly and it costs you nothing.
Unsubscribing from marketing does not stop transactional emails such as order confirmations and delivery updates, because we need to send those to fulfil your order.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We share your information only where we need to, and only with organisations that are contractually required to keep it secure and to use it solely on our instructions.
| Who | Why |
|---|---|
| Orbit Commerce | The ecommerce platform this website runs on, which hosts the site and processes orders |
| Our payment provider | To take payment securely. Payment providers are separate data controllers for payment data and have their own privacy policies |
| Our suppliers, including Dynamic Office Solutions | To fulfil your order. They receive your name, delivery address, phone number and the order details, because many orders ship direct |
| Delivery and installation partners | To deliver your goods and, where booked, install them. They receive your name, delivery address and contact number |
| Our accountants and auditors | To keep proper financial records |
| Professional advisers, insurers and authorities | Where we are legally required to disclose, or need to establish or defend legal claims |
Because many of our orders are dispatched directly from our supplier, your delivery details will be passed to them and to their carrier as a normal part of fulfilling your order.
We may also disclose your information if we sell or reorganise our business, in which case the buyer would be bound by this policy.
We aim to keep your personal information within the UK or the European Economic Area.
Some of our service providers may process information outside the UK. Where they do, we make sure a lawful transfer mechanism is in place, which will be either a UK adequacy decision for the country concerned, or the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with any additional safeguards needed.
You can ask us for details of the safeguards that apply to a particular transfer.
Cookies are small files placed on your device that let a website remember things about your visit. Our Cookie Policy explains what we set and why.
Cookies we cannot run the site without. These keep your shopping basket working, keep you signed in, remember your cookie choices and protect against fraud. They do not need your consent because the site would not function without them.
Cookies we ask permission for. Anything used to measure how the site is used, or to support advertising. We only set these if you agree.
You can change your choices at any time using the Cookie preferences link in the footer of every page. You can also block or delete cookies in your browser settings, though some parts of the site may then stop working properly.

To exercise any of these, email info@officefurniturestoreuk.co.uk marking your message "Data protection". We will respond within one month. If your request is complex we may extend that by a further two months, and we will tell you if so.
There is no charge. We may need to ask you for information to confirm your identity before we release personal information, to make sure we are not disclosing it to the wrong person.
If you are unhappy with how we have handled your information, please tell us first at info@officefurniturestoreuk.co.uk so we have a chance to put it right.
